eSubmission is an electronic method via the Internet of submitting your Lien Program® data to a remote processor for printing, lien filing, collection action, etc. It is very simple to use and completely automatic.
Jobs are submitted as processing files to a processor’s FTP site on the Internet (don’t worry, all you need is the Internet available and your program will handle the rest!). The processor can then update job information and return the update files to you so you have a record of the processing, including certified numbers, dates sent, and other printing information!
To begin, you must obtain information from your processor for the FTP site, and enter it into page 7 of Program Setup Defaults:
FTP Site: Enter the correct Internet FTP Site address for your electronic submissions and retrievals;
Username: This is the Username for the Internet FTP site for electronic submissions;
Password: This is the password for the Internet FTP site for electronic submission;
Outgoing: This is the Outgoing or retrieval directory for the Internet FTP site for electronic submission. This is where you pick up your updated files;
Incoming: This is the location for submission of your electronic files at the Internet FTP site.
Once this data is entered all you need is an operating Internet connection. The program will take care of the rest.
There is nothing special about entering data for electronic submission, but the program will only process those records with the Marked field checked on the Customer tab of Current Jobs. After processing, the Marked field will automatically be unchecked:
Sending Jobs and Receiving Updates
Select eSubmission from the Notices and Mail option of the Main Menu:
The first processing approval screen will appear. The program will have a number of them for step by step approval of the electronic submittal / retrieval. WARNING: If you are on a network other users must have their jobs completed and must not enter new data while the processing is occurring to prevent the sending of incomplete records. Once the processing is completed, usually in less than one minute, other users may begin to enter records again:
YES: Prepares the electronic submission files. Only records that have the Marked field checked will process. Once processed Marked will be unchecked and the files stored to send to the processor. There is no limit on the number of processed files that can be sent to a processor;
NO: No directly goes to transmission approval. Use this option if you had a transmission failure and want to re-send files that were not received the first time without processing new records;
CANCEL: Aborts the operation.
Next, the program will request you to transmit the files via the Internet and pick up your data updates. At this point the Current Job records are unchecked and data entry may resume for other stations. You must be connected to the Internet:
YES: Stay the file transmission / retrieval process. If you have Internet errors you may re-send files as many times a necessary until you choose to delete the transmission files;
NO: Takes you directly to clear transmission files;
CANCEL: Aborts the operation.
If during the transmission / retrieval process there are Internet errors the program will warn you and it will skip the file deletion process, assuming that you want to try the submission again. You can repeat attempts to transmit until you delete the transmission files.
The program will now open a ‘session’ on the FTP server on the Internet. Files, if available, will be uploaded and downloaded. If Internet errors occur, the program will warn you and you can attempt a new again. These type of errors are very rare, and don’t worry! The program will keep attempting to complete the upload / download until your files are approved and you choose to delete them:
If there are update files for you at the FTP Site they will download first. If the download is unsuccessful the program will warn you and you can re-start the transmission process, but normally the following screen will appear. If the download was successful we suggest you delete the remote FTP files. The new ones are already on your computer:
YES: Deletes the remote FTP files;
NO: Leaves the files on the remote FTP server.
If the program notes the files were transmitted, we suggest you immediately delete them. If you save the files on an approved transmission you can overwrite entered transactions:
YES: Deletes the transmission files;
NO: Leaves the file intact.
If you had update files you can either load them into your computer now or wait for another session (no limits on updates). Normally, we suggest you update immediately:
YES: Loads the update files immediately;
NO: Does not load the update files.
After the records are updated, you are asked to delete the update files. Normally we suggest you do this immediately:
YES: Deletes the downloaded update files;
NO: Leaves the downloaded update files intact.
This completes your eSubmission!
